The painless-switch guarantee: what changing MSPs really looks like

Most business owners we speak to have known for months — sometimes years — that they need to change IT providers. And they haven't. Why? Because the fear of the switch is worse than the reality of putting up with the current mess.

That's not accidental. Some MSPs make switching hard on purpose. Long handover timelines. "We can only export documentation with 60 days' notice." Delayed transfer of credentials. Missing runbooks. The odd threatening email.

A well-led transition is a controlled project with zero planned downtime. That's a claim we're comfortable making because we've done a lot of them.

Here's what our switching process actually looks like

Week 1: Assessment. We map your current environment — logins, tenants, licences, tooling, vendors — without touching anything.

Week 2: Documentation and asks. We formally request handover material from your current provider. In parallel, we spin up the accounts, monitoring, EDR and backup coverage from our side.

Week 3: Parallel run. Both providers are technically live. We're already answering tickets and running monitoring; the outgoing provider is still on record until cutover.

Week 4: Cutover. Documented change window. We take over primary responsibility. Your team barely notices — which is the whole point.

Weeks 5–8: Stabilise and audit. We hunt for the things the outgoing provider didn't hand over (there's always something), close the gaps, and produce your baseline documentation.

When the outgoing provider isn't cooperating

Some are. Some aren't. Jay has run enough hostile handovers to have a template demand letter ready — legally clean, professional in tone, and effective at getting stuck documentation released. We don't enjoy sending them. But we send them when we have to.
